About this role

We are seeking a highly capable Executive Assistant to support the Founder and CEO. This role operates as the central gatekeeper of the CEO's time, priorities, and workflow. The Executive Assistant is responsible for managing access, filtering and structuring all inbound requests, and ensuring the CEO is focused only on the highest-value activities. You will act as a strategic coordinator across internal and external stakeholders, ensuring alignment, follow-through, and execution on key priorities. You will also provide targeted administrative and execution support on materials, communications, and deliverables that sit with the CEO, ensuring they are prepared, organized, and progressed without friction. This role requires strong judgment, discretion, and the ability to anticipate needs, solve problems independently, and operate in a fast-paced, high-performance environment.

What you'll work on

  • Own and manage CEO mailboxes, ensuring all communications are reviewed, prioritized, and responded to appropriately
  • Act as the first layer of triage, filtering requests and escalating only what requires CEO attention
  • Exercise judgment to accept, decline, or redirect meeting and communication requests in alignment with CEO priorities
  • Maintain a clear and structured view of CEO priorities, ensuring time is allocated to the highest-value activities
  • Proactively manage and organize the CEO's daily and weekly workflow to prevent conflicts, delays, or overload
  • Attend meetings as required to capture key decisions and CEO-specific action items only
  • Translate CEO-owned actions into structured tasks and ensure they are tracked and progressed
  • Prioritize and track tasks to ensure timely execution and alignment with client billing and time tracking requirements
  • Maintain visibility on all CEO commitments and ensure follow-through without requiring reminders
  • Coordinate with internal team members only where deliverables require CEO input, approval, or follow-up
  • Follow up on CEO-related actions and ensure accountability without stepping into broader team coordination or project management
  • Prepare, format, and organize materials, communications, and documents before they reach the CEO
  • Ensure all inputs are clear, concise, and decision-ready
  • Manage interactions with external stakeholders in a professional and controlled manner, protecting the CEO's time and ensuring a consistent standard of communication
  • Maintain clean and accurate tracking of CEO-related tasks, communications, and records
  • This role is structured as an independent contractor engagement
  • Minimum commitment of 20 hours per week, with flexibility to scale based on business needs
  • Expected to operate with a high degree of accountability, responsiveness, ownership, discretion, and strict confidentiality in handling all communications, client information, and internal matters
  • Primary responsibility remains the direct support of the CEO; any additional support is secondary and should not interfere with core responsibilities
  • This role does not provide regulatory advice, compliance analysis, or client-facing advisory services
  • All work performed is administrative and coordination-based in nature, supporting the CEO's workflow and deliverables

Requirements

  • 10+ years experience supporting a senior executive or founder in a fast-paced, high-performance environment
  • Demonstrated experience managing complex calendars, competing priorities, and high-volume communications with strong judgment
  • Proven ability to act as a gatekeeper, with confidence to prioritize, redirect, and push back when required
  • Strong organizational skills with the ability to bring structure to ambiguity and shifting priorities
  • Exceptional attention to detail with a high standard for accuracy and follow-through
  • Strong written and verbal communication skills, with the ability to draft and refine executive-level correspondence
  • High level of discretion and professionalism in handling sensitive and confidential information
  • Ability to anticipate needs, think ahead, and proactively manage workflow without requiring constant direction
  • Comfortable operating independently with a high degree of accountability and ownership
  • Experience working in a remote environment with distributed teams
  • Strong proficiency in Google Workspace and modern productivity tools
  • Experience using task tracking, CRM, or workflow tools to maintain organization and visibility across priorities
  • Comfortable leveraging AI tools to improve efficiency and streamline day-to-day work
  • Ability to manage multiple stakeholders and maintain a high standard of responsiveness and professionalism in all interactions
  • Experience supporting a founder or executive in a consulting, professional services, or high-client-volume environment is strongly preferred
